Organise the RFQ by project area
A useful lighting request for quotation connects every product to an application, variant and quantity. A general request for hotel lights or shop lighting leaves important questions unanswered. Start with destination country, project type and buyer role, then state whether the request is an early shortlist, sample review or planned order. For hotels, separate guest rooms, corridors, reception, dining areas, public spaces, exterior entrances and landscape zones. For retail projects, separate sales-floor lighting, display areas, shelves, fitting rooms, counters, façades and back-of-house spaces. This makes it easier to identify where ceiling, wall, decorative, cabinet, strip or outdoor families may be relevant. Confirm model-specific variants
For every product line, list the selected size, colour, CCT, voltage, length or other available option. If two variants are required, give each a separate quantity. Do not assume that one price applies across sizes or electrical configurations. Dimensions, wattage, IP rating, certification, packing and performance details must be confirmed for the exact model. Mark mandatory requirements such as destination voltage or fixed installation dimensions clearly. Identify preferences such as finish or packaging style as flexible. Where information is still developing, keep it as an open question linked to the relevant code rather than presenting an assumption as a fixed specification.
Include complete lighting systems
Cabinet, shelf and display lighting may require LED strips, aluminium profiles, diffusers, drivers, connectors, clips and end caps. Mirror products may include touch switches, control boards or power components. Review these items as one installation system and confirm quantities together. Outdoor products need placement information such as covered entrance or fully exposed façade. Solar products require the installation location, available sunlight and intended use. Do not promise operating time, charging performance or weather resistance before checking the selected product information. Optional accessories should be identified so the buyer can see what is included in each quotation line.
Attach customization and complete the commercial request
If the project requires colour, size, CCT, logo or packaging customization, connect the request to the correct product code and quantity. Separate mandatory branding or market-language information from preferences. Only use confirmed technical wording, certification references or warranty text on private-label packaging. Provide usable brand artwork and state whether the logo belongs on the product, inner box, colour box or carton label. Add destination country, preferred currency, requested trade term, quantity basis and documentation notes. Separate samples from project quantities. Before approval, compare every quotation line with the RFQ and product page. Confirm the code, image, variant, quantity and accessories, then ask for exact price, packing, lead time and commercial terms for the final selection.
